Volunteer Job Descriptions
Announcer: The MC, play-by-by announcer, etc. of home swim meets. The announcer calls out what events and heat we're on, which events need to be on deck, and team sponsor information and can help make the event fun! If we have two volunteers, the announcer can work in half-meet shifts.
Bullpen: Bullpen parents make sure swimmers get to their events on time and use the bullpen heat sheet to organize the swimmers by lane or heat and, for younger age groups, help the deck manager keep everyone in the right order. Stay with the swimmers in their designated area and assist with googles, caps, etc. Great for those with tag-along siblings. Comfortable reading bullpen heat sheet or with figuring that out. Some knowledge of how swim meets work and the different events is helpful, but we can teach you! First shift should arrive before warm ups. Half-meet shifts.
Clean up: Help clean up after the swim meet. This job begins at the end of the meet and ends when the pool area is cleaned up. This generally goes quickly - away meets take less time.
Computer: Data entry from judges/timers into the computer. Keeps running score, provides final result to coach. This role requires training on the system - it’s not hard - but there are aspects that aren’t self-explanatory. Indoors, entire meet. You won’t miss your swimmers’ races.
Concessions: Help staff our concession stand at home meets. Great for those new to swim meets. Okay for a tag-along sibling-especially one that will want to be a helper! Half-meet shifts.
Deck Manager: This is a role for volunteers comfortable reading a heat sheet and experienced with swim meets generally and the different events. You won’t get bored in this job and will get your steps in! An added bonus is getting to know and recognize many of the swimmers and be in the middle of the action. The deck manager is responsible for lining up Wexford swimmers on the deck (behind the starting blocks) for their events using the heat sheet. Half-meet shifts.
Floater: Fill in as needed at different positions. Bring water to coaches, timers, judges, and the deck manager as needed. Fill in at these roles if someone needs a quick break.
Judges Recorder: Front row seat for all the events! In this job, you’ll sit near the “finish line” and record how the place judges see the swimmers place in each heat and may also record disqualifications from the league official. Half-meet shifts, home meets only.
Master Recorder: This is a great job for someone new to swim meets. You’ll see all the events and get your steps in during your shift. The master recorder records information from judges and timers for each race and gives it to the Runner (or directly to Computer volunteer in some cases). Can be okay for a tagalong sibling if they’ll be able to follow you around during your shift. Half-meet shifts.
Place Judge: Front row seat to all of the events during the shift. The place judge watches the swimmers finish into the wall and judges the finishing order of the swimmers for each heat during a shift. Half-meet shifts.
Ribbons: Place printed labels on the appropriate ribbon, then file into the swimmer's folder. This job starts around 6:30pm and will end about 5-10 mins after the last event. Usually this is indoors (you’ll still be able to watch your swimmers’ events).
Runner: Takes time papers from the master recorder to the computer volunteer. Can be good for parents with a tagalong sibling if they will stay with you and can keep up! Good for those new to swim meets! Half-meet shifts.
Set-Up: Come to the pool at 3:45 and help set up the swim meet. You will be moving pool furniture, setting up tables, setting up tents, testing the sound system, etc. Your job is over by 5:30.
Timer: Each lane has two - One person who times using provided stopwatch, the other who writes the time down. This is a great job for anyone new to swim meets. It does require standing for the duration of your shift, but you’ll see all the races and the time passes quickly. Provide the time to the Master Recorder.
Volunteer/Swimmer Check-In: Arrive at least 30 mins before warm ups and help greet swimmers and volunteers. Direct swimmers to their bullpens, check in volunteers, and generally help out as needed while coaches and team reps are running around.
